Summary of Instructions

 

All papers must be re-submitted electronically in their final format. Please be aware that the inclusion of your paper in the conference proceedings is only possible if the following 3 items are submitted on or before May 1st 2019 deadline, through the conference submission website:

1. Final camera-ready version of the paper in IEEE Xplore-compliant format

2. IEEE Copyright form (can be submitted electronically through the paper submission system).

3. One full registration fee per paper before the May 10th, 2019.

Please follow the steps given below to complete camera-ready submission processes. Optionally, authors can use Oral Presentation Template and Poster Presentation Template which are also presented in the following section of this page.

The Registration Form should be completed online by following the link until May 3rd, and please be sure you have provided all required information on form.

Guidelines for preparing Camera-ready and Copyright Documents

Accepted and presented papers will be published in IEEE GPECOM2019 Proceedings and will be submitted to IEEE Xplore® digital library. No-show papers will not be submitted to IEEE Xplore® digital library. The accepted papers which have been announced on April 15th should be revised according to Reviewers’ comments and should be uploaded to EasyChair system as revised versions until May 1st, 2019.

All the submissions should be written in English with maximum 6 (six) printed pages length including figures and tables. Based on IEEE publication policy, extra fees are required for each excess page more than 6 pages.

Please check camera-ready versions are compliant with any of LaTeX IEEEtran style or the Word template  (Please click to download). Authors may use one of Microsoft Word A4 or LaTeX template of IEEE, but only PDF files will be accepted for review process.

  

I-  Before Creating PDF of Camera-Ready Version

 

1. Proofread your source document thoroughly to confirm that it has been revised according to Reviewers’ comments and will require no revision.

2. The appropriate copyright clearance code notice is to appear on the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. Detailed instructions can be found at: https://www.ieee.org/publications/rights/index.html

Please replace the copyright clearance code (XXX-X-XXXX-XXXX-X/XX/$XX.00 ©20XX IEEE ) existing in template file with appropriate one of followings;

• For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright

• For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 978-1-5386-8086-5/19/$31.00 ©2019 Crown

• For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5386-8086-5/19/$31.00©2019 European Union

• For all other papers the copyright notice is: 978-1-5386-8086-5/19/$31.00 ©2019 IEEE

 

II-  Creating  your PDF eXpress Account
  • First-time users should do the following:
      1. Select the New Users – Click Here link.
      2. Enter the following:
        • 45353XP for the Conference ID
        • your email address
        • a password
      3. Continue to enter information as prompted.
      4. An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
  • Previous users of PDF eXpress need to follow the above steps, but should enter the same password that was used for previous conferences. Verify that your contact information is valid.
III- Uploading of the final camera-ready version
  • Before uploading to the EasyChair, camera ready papers must be validated using IEEE PDF eXpress tool. Once your pdf file is validated at PDF eXpress tool, download the “PIDxx.pdf” titled version of your file generated at site, and upload this file as final version of your submission to EasyChair system.
  • IEEE Copyright form should be filled in.
  • Once you have completed verified PDF file with PDF eXpress and IEEE Copyright form, you will be ready to upload or mail the files as your final documents.

Guidelines for Oral Presentation and Poster Presentations

Accepted papers will be presented by one of one of their authors at the conference days in parallel sessions grouped and entitled by Conference Topics. Oral or poster distribution is optimized in timing schedule at the Hotel conference facilities (rooms, audio and visual equipment).

There is no difference in the treatment of papers manuscripts between oral or poster presentation, both will be fit to the Conference Proceedings and send to Xplore Digital Library. Posters are a different choice for the authors to present their work, giving the opportunity to discuss in depth with the attendees.

Each room will be equipped with computer projection system. All presentation should be done on the computer available in the room. Please do not forget to bring a USB stick with your Oral Presentation ppt or pdf file. The room staff will help you upload your paper in the break (coffee/lunch) before your session. Data projector will be provided in each conference room.

  

I-  Oral Presentation Guidelines
    • Each morning/afternoon oral presentation sessions lasts one and half hour including four technical papers which require strict adherence to the time limits for presenting papers. This assures that everyone has a fair chance to present their work and answer questions.
    • Each paper is allowed as around 2 Minute for speaker introduction, 13 Minutes for presentation, 5 Minutes for questions and answers. Please plan your presentation accordingly.
    • Please prepare a short bio (a plain doc or pdf file) and send it by e-mail to the conference secretariat secretary@gpecom.org or as an alternative, arrive in the room 10 minutes before the start of you session and give a very short introduction bio to the session chair.
    •  Please make sure you use a very high quality slides including large fonts, good graphics and sharp coloring. Please do not use small text or hand written material on you slides.

II-  Poster Presentation Guidelines
    • Presenters should bring their own printed posters. It will not be possible to print a poster on site.
    • The size of the poster panels is: 840 mm length x 1180 mm width (A0 portrait / 33.07 in x 46.45 in).
    • The conference will supply tape to secure the poster to the wall.
    • Presenters should be available at the poster session near their poster in order to answer to the conference participants questions.
